A free payment receipt template
A receipt confirms that you have been paid. It is not a request for payment. Here is what a payment receipt should show, with a template, and how long to keep your records.
Free plan, no card needed. Prices in pounds, no VAT added.
Checked against GOV.UK on 30 October 2026. This guide explains the rules in plain English; it is not legal or tax advice. If your situation is unusual, ask an accountant or HMRC.

What a payment receipt should show
GOV.UK does not set out a fixed list for a payment receipt, so this is good practice. A useful receipt lets both of you match the payment to the invoice:
- your business name and contact details
- who paid you
- a receipt number
- the date you were paid
- the invoice number the payment is for
- the amount paid and how it was paid, such as bank transfer or card
- any balance still owed, or that the invoice is paid in full
Receipt or invoice?
An invoice asks your customer to pay and must include the details GOV.UK lists, such as a unique number, the supply date and the total owed (what invoices must include). A receipt comes afterwards and confirms the money arrived. For part payments, send a receipt for each payment showing the balance left.
Receipts from VAT registered businesses
If a sale is £250 or less including VAT, HMRC allows a simplified VAT invoice (VAT Notice 700/21, section 4). If your receipts also serve as your VAT invoices, they must show at least your name, address and VAT registration number, the time of supply, a description of what you sold, and the total including VAT with the VAT rate for each rate that applies. Our guide to VAT invoice requirements has the full rules.
How long to keep receipts
- Sole traders: at least 5 years after the 31 January submission deadline of the relevant tax year (self employed records).
- Limited companies: 6 years from the end of the last company financial year they relate to, or longer in some cases (company records).
