What every UK invoice must include
GOV.UK says an invoice must include these nine things (what invoices must include):
- A unique identification number. Most businesses number their invoices in order, such as INV-0001, INV-0002.
- Your company name, address and contact information.
- The company name and address of the customer you are invoicing.
- A clear description of what you are charging for.
- The supply date: the date the goods or service were provided.
- The date of the invoice.
- The amount or amounts being charged.
- The VAT amount, if applicable.
- The total amount owed.
Extra details for sole traders
If you are a sole trader, GOV.UK says the invoice must also include:
- your name and any business name you use
- an address where legal documents can be delivered to you, if you are using a business name
Extra details for limited companies
A limited company must include its full company name as it appears on its certificate of incorporation. If you choose to put directors' names on your invoices, you must include the names of all directors.
GOV.UK also says a company must show its registered number, its registered office address, where it is registered and the fact that it is a limited company on its business letters, order forms and websites (signs, stationery and promotional material). Many companies add the same details to the foot of their invoices, so every document they send matches.
If you are registered for VAT
You can only charge VAT if your business is registered for VAT (charge, reclaim and record VAT). If you and your customer are both VAT registered, you must send a VAT invoice, which needs more detail than the template above, including your VAT registration number and the VAT shown separately.
Our guide to VAT invoice requirements lists every field. Working in construction under CIS? Use the CIS invoice template instead.
Payment terms
You can set your own payment terms. If you have not agreed a payment date, GOV.UK says your customer must pay within 30 days of getting your invoice or the goods or service (payment obligations). Putting the due date and your bank details on the invoice makes it easy to pay on time.
